The following is taken from the new issue of the CPUK magazine and offers the enthusiastic member advice on how to plan and hold a CPUK event. The committee stages of this process are not intended to "approve" or "vet" events, but rather to ensure that events held under the CPUK banner meet the requirements laid down by our public liability insurance.
The club is always on the lookout for new events, new venues and new organisers/assistants. If you can help please contact the events co-ordinator, or in his absence, the chairman or membership secretary. All events need committee approval for inclusion in the magazine. These tips will help you organise an event.
Location
Select a site/event that is likely to be of interest to Members. This may be related to motoring (museum; track event; show including or exclusively for classic/vintage vehicles); other forms of transport (railway museum; live railway; miniature railway; transport pageant; steam; boats; inland waterways; marine); aircraft (museum; airshow); social history (rural museum); autojumble (esp in France, Belgium or Holland ).
Date
Check with the Events Coordinator that the date does not clash with a major CPUK event, such as the National Rally, or a major event in the locality.
Meeting Point
If the event is not a suitable meeting point, select a local Pub with a car park that can accommodate the number of cars and people expected.
A regional event may be up to a dozen cars. Multiply by 2.5 for the number of people to plan for.
Costs
If the Club needs to underwrite costs, calculate the cost per car and refer to CPUK Committee for approval. Pub lunch and venue costs should normally be paid for by individual Members.
Publicity
Advise the Events Coordinator and The Editor of The Peugeotist in time to catch two editions before the Event to give Members plenty of time to forward plan.
Include a simple map and instructions how to get there. A telephone no for the venue (if appropriate) or your mobile number may be helpful for those coming from afar who don't know the area.
Give your name, address, Membership number and contact details : phone no (state evenings/ weekends/work, as appropriate), fax, e-mail.
On the day
Get there 1/2-an-hour early (there are some “early birds” in every Club!). Be visible - how will Members recognise you? Stand by your car? Attach a balloon (preferably one with the Peugeot logo on it!) to your car aerial or bumper?
Who came?
If you don't know everyone who comes, prepare a piece of paper with the headings : Member's Name; Membership No; Vehicle. Pass this round at the event to record who came. Send this to the Events Coordinator or The Editor.
Report
If you are able to write a brief report for the Magazine, other Club members would be interested to see what they missed! You may want to ask another Member to do this for you - The Editor may be able to guide you to someone he knows may be willing. A camera is always useful, even if only to take a photo of the participants for the Magazine.
